Job Description

As a VIP Coordinator, you will be responsible for the seamless management of all VIP guest services during events. You will work closely with event planners, security, hospitality teams, and other departments to ensure that VIPs have an exceptional and stress-free experience. From pre-event planning to on-site coordination, your role will be critical in creating an exclusive and personalized atmosphere for our high-profile guests.

Key Responsibilities

  • Coordinate and manage VIP guest lists, ensuring all details are accurate and up-to-date.
  • Provide personalized services for VIPs, including transportation, accommodation, and on-site assistance.
  • Collaborate with event teams to ensure VIP requirements are met, including special requests, dietary restrictions, and security arrangements.
  • Manage VIP access to events, ensuring smooth entry and exit while maintaining privacy and security.
  • Develop and maintain strong relationships with VIP clients, ensuring their needs are anticipated and exceeded.
  • Coordinate VIP-specific hospitality services, including exclusive seating, private areas, and concierge services.
  • Communicate with VIPs and their representatives, providing timely information and updates before and during the event.
  • Oversee VIP staff and ensure they are trained and prepared to provide exceptional service.
  • Address any concerns or requests from VIP guests quickly and discreetly.
  • Follow up with VIPs after events to gather feedback and ensure a high level of satisfaction.

Requirements

  • Proven experience as a VIP Coordinator, Concierge, or in a similar high-level customer service role.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail and organizational skills.
  • Ability to anticipate VIP needs and manage multiple tasks efficiently.
  • Professional demeanour and ability to handle high-pressure situations with discretion.
  • Flexibility to work evenings, weekends, and during events as required.
  • Experience with event planning or hospitality management is a plus.

Preferred Qualifications

  • Degree in Hospitality Management, Event Planning, or a related field.
  • Previous experience working with high-profile clients, celebrities, or executives.
  • Familiarity with event management software and VIP guest management systems.
